Requesting transcripts and certificates

Please follow the instructions given below if you wish to request transcripts and certificates.

In person at the CJS counter:

Fill in a certificate request form at the CJS counter. If you would like the certificate to be posted to you by mail please bring the correct postage stamp with you. (Please look here for information on postage costs). The counter’s location and opening hours are as follows:

By mail:

  1. Download the request form and fill in the required details: (The link to download the form is hereword.)
    Please fill in the form, taking note of the following points. Students from IES Abroad are not able to request certificates through the CJS Office. Please make your request through the IES Office.

    3 Name Please write your name using alphabet (romaji). Your name will be entered as it was registered with the CJS upon your enrollment.

    5 Category of student Choose from: Exchange / ISEP / Self-financed / Others

    7 Type of certificate and number of copies, indicate if they should be in Japanese or English Please choose from the list of options given below (*)
    8 How you wish to receive the certificate If it is to be posted, please give your postal address and clearly indicate if you want it sent by airmail or EMS, etc.
    9 Contact details Please give an e-mail address that can be used to contact you.

    Type of certificate Fee Content of certificate
    1 Transcript of Academic Records 200 yen The transcript certifies a student’s academic record at Nanzan University.
    2 Certificate of Enrollment 200 yen This certificate certifies that the student is currently enrolled in CJS.
    3 Certificate of Completion 200 yen This certificate will be issued to full-time students who earned 28 credits or more during the last two semesters and completed the CJS program.
    4 Certificate of Expected Completion 200 yen This certificate will be issued to full-time students who are expected to earn 28 credits or more during the last two semesters, before the CJS program ends.
    5 Certificate of Attendance 200 yen This certificate certifies the period a student studied in the CJS. This certificate can be issued only after the CJS program ends.
  2. Send the request form to the CJS Office by e-mail:
    Please send the form to the CJS Office (cie-cjs@nanzan-u.ac.jp) by e-mail. After checking the form CJS will contact you to confirm its receipt, so we request that after sending the form you wait to be contacted.

  3. Purchase an international postal reply coupon:
    If you are making your request from overseas, the payment of the fee to issue the certificate and the cost of postage will all be made using an international reply coupon. If you are making your request from within Japan, this will be done using the postage stamps. Please purchase these from a post office once you have heard back from the CJS Office.

    If using an international reply coupon, please send slightly more money than the amount stated. (For an international reply coupon please calculate the cost at 130 yen for one regardless of the exchange rate). You will be unable to receive the certificate requested if the amount received is insufficient, or if or you have sent cash or made a wire transfer.
